1. Who is responsible for your information
This website is operated by Guangzhou Carbon Link Intelligent Technology Co., Ltd, using the CarbonLink AI brand. We are responsible for the personal information described in this notice.
Website: carbonlinksci.com
Postal address: Room 510-2, Building KL3, No. 20 Yuanxiang Road, Huangpu District, Guangzhou, China
Privacy contact: DmEloy656@gmail.com
2. Information you provide
When you send a product, application, engineering or support inquiry, we collect your name, work email address, product or application of interest, and requirements. You may optionally provide your company, country or region, and telephone number. Additional questions, if enabled, are shown on the form with their labels and required or optional status.
We also record an inquiry reference, submission time, relevant source page, product or application context, request category, language and the version of the inquiry-processing acknowledgement. We use technical submission identifiers to recognise repeated submissions.
Please do not include patient information, health records or other sensitive personal information in your inquiry. Required fields help us understand and respond to your request; without them, the website cannot accept the form. Company, country or region, and telephone number are optional; leaving them blank does not prevent submission.
3. Why we use this information
We use inquiry information to review your request, communicate with you and coordinate the relevant product, engineering, testing or support response. Authorised team members can review the inquiry in our internal website system.
We use the email address and requirements you provide only to respond to your inquiry, prepare quotations and follow up on the related project. We do not use inquiry details for product promotions or other marketing emails. We accept inquiries from organisations and individuals.
The inquiry-processing acknowledgement is separate from optional website analytics. Rejecting analytics does not prevent you from sending an inquiry.
Where EU or UK data protection law applies, we rely on our legitimate interests to respond to business contacts who request information and to coordinate the related business project. Our specific interests are providing the requested product or engineering response and maintaining relevant project communications. We limit this processing to information needed for those purposes and consider its impact on your rights. You may object to processing based on legitimate interests by contacting us.
Where you personally are the prospective or actual contracting party, we may instead process information necessary to take steps at your request before entering into a contract with you, or to perform that contract. This basis does not automatically apply merely because you contact us on behalf of your employer.
4. Technical information and optional analytics
For submission abuse prevention, the website processes the connecting IP address into a keyed identifier and uses a short-lived submission counter. The inquiry record itself does not contain a dedicated raw IP-address field. Separately, the web server's configured access and security request logs may record your connecting IP address, request time, request address (including query parameters), response status and size, referring page, browser information and an authenticated request username where available. This does not mean the inquiry form's message body is included in that log format.
The server uses access and security logs for website operation and abuse investigation. The site-specific configuration schedules daily rotation with a retention setting of seven rotated files, in addition to the current log. Files may remain longer when a log is inactive; this is not a guarantee that each record is deleted seven days after collection.
The optional analytics feature described in this notice is currently disabled. The website remembers a privacy preference as described in our Cookie Policy. Before enabling an analytics service, we will update the relevant information about that service and its processing. Our website's optional analytics mechanism requires an affirmative choice; browsing and inquiry submission remain available when it is declined.
5. Access, service providers and processing locations
Website inquiry records are restricted to authorised users. The website is hosted on a Vultr server in Los Angeles, United States. Inquiry notifications are enabled. New inquiries are sent through the email services described below so that the company owner can respond promptly. Vultr automatic backups are scheduled weekly for this instance. Vultr describes its automatic backup service as retaining the two most recent backups on separate, fault-tolerant storage in the same data centre as the instance.
The notification route sends inquiry information through Hostinger Email to DmEloy656@gmail.com, an inbox used personally by the company owner. Google therefore provides the receiving email service, while Hostinger provides the sending service. The public and privacy contact address is also this Gmail address. Google describes using servers around the world, so information may be processed outside your country of residence.
Each notification email contains a copy of the submitted inquiry fields, its reference and product or request context, together with the processing acknowledgement version and language. It is not just a link to the website record. The submitter's email address is used as the reply-to address.
Our staff handle inquiry records in the website system and the designated Gmail inbox; we do not copy them into separate CRM systems, spreadsheets or messaging applications. This does not exclude the hosting and email services described above or their technical backups. We do not pass customers' names, contact details or original inquiries to external suppliers or partner manufacturers for project follow-up.
The company owner and website operator access and handle inquiries from China. Accordingly, inquiry information is processed in China as well as through the hosting and email services described above. We do not enter customer information into AI assistants or translation tools to translate inquiries or prepare replies.
For questions about processing locations or the arrangements applicable to your information, contact our privacy contact above.
6. How long information is kept
For ordinary inquiries that have not resulted in a contract, we retain personal information for six months after the last substantive business communication about the inquiry. If there is no follow-up communication, the period begins on the submission date. An operator reviews records that reach this deadline and carries out the approved cleanup process. The website currently provides retention management and administrator-confirmed cleanup rather than scheduled automatic deletion.
Where an inquiry becomes a contract or relates to an ongoing project, the company owner determines how long necessary records are retained, taking account of contract performance, after-sales support and applicable legal requirements. These records do not automatically follow the six-month rule for ordinary unconverted inquiries. There is no single fixed retention period for all contract and project records.
The same six-month retention rule applies to email copies of ordinary inquiries. Deleting a website record does not automatically delete the corresponding emails; mailbox copies require a separate cleanup process.
The website operator handles cleanup of website inquiry records. The company owner handles cleanup of inquiry emails in the designated Gmail inbox. Server maintenance and backups are handled separately by the person responsible for the server.
The browser preference has a validity period of 180 days from the time it is saved. This is a preference validity period, not the retention period for inquiry records.
7. Your choices and requests
You can contact DmEloy656@gmail.com to ask about your information or request access, correction or deletion. Depending on the law that applies, you may also have rights to object, restrict processing, receive a portable copy or withdraw consent where processing relies on it. These rights can be subject to conditions or exceptions. Withdrawal does not change the lawfulness of earlier processing based on consent.
The company owner receives requests at this address and coordinates any necessary changes to website records with the website operator. Email copies are handled separately by the company owner.
We may request additional information where reasonably necessary to verify your identity, proportionate to the request and the information involved. Please do not send identity documents unless we explain why they are needed.
We will handle requests without undue delay. Where EU or UK GDPR applies, we normally respond within one calendar month, subject to the applicable rules for calculating that period. If a permitted extension is necessary because of the complexity or number of requests, we will explain the extension and its reasons within the applicable initial period. An extension is not automatic.
Where EU GDPR applies, you may complain to a competent data protection supervisory authority, including in the Member State of your habitual residence, place of work or the alleged infringement. Where UK GDPR applies, you may complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not have to contact us first to exercise an applicable right to complain.
8. Updates
We will update this notice when the described processing changes and show its effective date. Material changes will be communicated as required by the applicable rules. For browser preference controls, see our Cookie Policy at https://carbonlinksci.com/policies/cookies/.
